Reel Lite Generators, LLC — Equipment Rental Agreement
Last updated: October 21, 2026
This Equipment Rental Agreement ("Agreement") is between Reel Lite Generators, LLC, an Illinois limited liability company ("Reel Lite," "we, "us"), and the customer named on the quote, order or invoice("Renter," "you"). It applies to every rental, together with that quote, order or invoice (the "Order"). The Order controls equipment, dates, prices and delivery. This Agreement controls everything else. You accept this Agreement when you sign or e-sign it, accept an Order, or take delivery of equipment.
1. Equipment and rental period
"Equipment"means everything listed on the Order, including generators, cable, distribution and accessories. The rental period starts when the Equipment is delivered to you or picked up by you. It ends when the Equipment is returned to our yard, or picked up by us, and checked in. A rental day is 24 hours, a week is 7 consecutive days, and a month is 28 days [CONFIRM]. Charges continue until you call off the rental and the Equipment is returned or available for pickup.
2. Rates, payment and deposits
You agree to pay the rates, delivery charges, fees and taxes on the Order. We may require a deposit or a card on file. Approved accounts are due net [30] days from invoice. Past-due amounts accrue interest at 1.5% per month or the highest rate allowed by law, whichever is lower, plus reasonable collection costs and attorneys' fees. If payment is late, we may end the rental and recover the Equipment.
3. Delivery, placement and pickup
Delivery and pickup are charged by zone as shown on the Order. You will provide a safe, level and accessible location, a clear path for our vehicles, and any permits needed for street placement, parking or noise. Waiting time, extra trips and failed deliveries caused by site conditions are billed at our current rates.
4. Fuel
Equipment is delivered with a full tank [CONFIRM]. You pay for all fuel used. If Equipment is not returned full, we will bill fuel at our current per-gallon rate plus a [$__] service charge. Use only clean ultra-low-sulfur diesel. You pay for any damage caused by wrong or contaminated fuel. Fuel service is available when quoted.
5. Safe use and operation
You agree that:
Only trained, qualified people will operate the Equipment, following the manufacturer's instructions and ours.
Every connection to lights, distribution or other loads will be made by a qualified electrician or set lighting technician, following the National Electrical Code (NFPA 70) and local codes.
You will never connect the Equipment to a building's electrical system without an approved transfer switch. Backfeeding can kill utility workers.
You will ground the Equipment as required and will not overload it.
You will run the Equipment outdoors only, in a ventilated area away from doors, windows and air intakes. Generator exhaust contains carbon monoxide, which can kill.
You will check fluid levels and look for leaks each day, stop using the Equipment if it malfunctions, and call us right away.
You will not move, tow, open, repair or alter the Equipment, sub-rent it, or use it anywhere other than the location on the Order without our written consent.
6. Equipment condition and breakdowns.
We deliver the Equipment clean, maintained and in good working order. If it fails through no fault of yours, call us and we will repair or replace it as soon as practical. You will not be charged rent for the time it is out of service after you notify us. Repair, replacement or a rental credit is your only remedy for a breakdown.
7. Your responsibility for the Equipment
From delivery until check-in, you are responsible for loss, theft and damage beyond normal wear, whatever the cause, except damage caused by our negligence. You will pay the repair cost or the replacement value, plus lost rental income while the unit is out of service, capped at [30] days, and charges for cleaning and missing items. Report theft to the police within 24 hours and to us immediately, and send us the police report.
8. Insurance
Before delivery, you will send us a certificate of insurance showing:
Commercial general liability of at least $1,000,000 per occurrence and $2,000,000 aggregate, naming Reel Lite Generators, LLC as additional insured.
Property or equipment rental floater coverage (or a production package policy) for the Equipment at full replacement value, naming Reel Lite Generators, LLC as loss payee.
Automobile liability of at least $1,000,000 if you tow or transport the Equipment.
Workers' compensation as required by law.
Your insurance is primary. We may refuse delivery until we receive a certificate. Insurance limits do not limit what you owe under this Agreement.
9. Indemnity
To the fullest extent the law allows, you will defend, indemnify and hold harmless Reel Lite and its members, managers, employees and agents from all claims, damages, losses and costs, including reasonable attorneys' fees, that arise from your possession, use, operation, transport or connection of the Equipment during the rental period. This does not apply to the extent a claim is caused by our negligence or willful misconduct.
10. Disclaimer and limit of liability
Except as stated in section 6, the Equipment is rented without any other warranty, express or implied, including any warranty of merchantability or fitness for a particular purpose. We are not liable for lost profits, production delays, lost footage, crew overtime or other indirect, incidental or consequential damages, even if we were told they were possible. Our total liability for any Order will not exceed the rental charges paid for that Order, except where the law does not allow that limit.
11. Cancellations and changes
You may cancel without charge more than 48 hours before scheduled delivery. If you cancel within 48hours, you will pay one day's rent plus any delivery trip already dispatched [CONFIRM]. Changes to dates or equipment depend on availability and may change the price.
12. Return
Return the Equipment clean, in the condition you received it, with all cables and accessories, at the scheduled time and place. Extra cleaning, missing items and late returns are billed at our current rates.
13. Default and recovery
If you fail to pay, break this Agreement, or the Equipment is at risk, we may end the rental and recover the Equipment wherever it is, where the law allows. You authorize our access to the site for that purpose and will pay our recovery costs.
14. Ownership
We own the Equipment at all times. This is a rental, not a sale or a security interest. You will keep the Equipment free of liens and will not remove or cover our name or markings.
15. Governing law and disputes
Illinois law governs this Agreement. Any lawsuit will be brought in the state or federal courts located in Cook County, Illinois [CONFIRM], and both parties consent to those courts. The winning party may recover reasonable attorneys' fees and costs.
16. General terms
Electronic signatures and records are binding. This Agreement and the Order are the entire agreement and replace any earlier discussions. Changes must be in writing and accepted by both parties. If any part is found unenforceable, the rest stays in effect. Our not enforcing a term is not a waiver of it.
